This policy governs the cancellation of confirmed bookings and the terms for refunds related to the vehicle rental agreement between the renter (Client) and Uganda Car Rental Deal (The Company).
1.1. Applicability: This policy applies to all confirmed car rental reservations for vehicles in Uganda and East Africa, where a deposit or full payment has been received by The Company.
1.2. Request Requirement: All cancellation requests must be submitted by the Client in writing (via email to [Your Company Email]) and must be acknowledged by The Company to be valid.
1.3. Refund Method: All approved refunds will be processed back to the original method of payment (e.g., credit card, bank transfer) used for the booking. The Client is responsible for any bank charges or transaction fees incurred during the refund process.
1.4. Security Deposit: The Refund and Return Policy does not apply to the separate Security Deposit. The Security Deposit is processed and refunded according to the terms outlined in the main Rental Agreement (usually 7-14 business days after the safe return of the vehicle).
The refund amount is dependent on the written notice period provided by the Client prior to the scheduled vehicle pick-up date and time.

Note on Changing Dates: The Company may allow the Client to transfer their booking deposit/payment to a future date at no cost, provided the request is made at least 15 days prior to the original pick-up date and is subject to vehicle availability.
3.1. Early Return: NO REFUND will be given for vehicles returned earlier than the agreed-upon date and time stipulated in the Rental Agreement. The rental is considered a fixed-term contract.
3.2. Late Collection/Unused Days: NO REFUND will be given for rentals that commence late or for any days the vehicle remains unused after the rental period has officially begun.
4.1. Company Cancellation: In the extremely rare event that [Your Company Name] must cancel a confirmed reservation due to unforeseen circumstances (e.g., mechanical failure, accident involving the reserved vehicle), the Client will be offered one of the following options:
* A Full Refund (100%) of all money paid to The Company, or
* A suitable Alternative Vehicle of equal or higher standard at the original agreed-upon price.
4.2. Mechanical Breakdown During Rental: In the event of a mechanical breakdown not caused by the Client’s negligence (as determined by The Company), The Company will endeavor to provide a replacement vehicle within 24 hours within the main tourist circuit.
* If a replacement vehicle is successfully provided, no refund applies.
* If The Company fails to provide a suitable replacement within 48 hours, the Client will be entitled to a pro-rata refund for the unused portion of the rental period from the time the vehicle was deemed unrepairable.
4.3. Negligence Exclusion: No refund or compensation will be provided if the vehicle failure or damage is found to be a result of the Client’s negligence, reckless driving, breach of the rental contract (e.g., driving under the influence, unauthorized off-road travel), or failure to comply with the accident reporting procedures.
Approved refunds will be processed by the Company within 15 to 30 business days from the date the written cancellation is acknowledged and confirmed. The time it takes for the funds to reflect in the Client’s bank account or credit card statement is subject to the processing times of the respective financial institutions and is beyond The Company’s control.
